Leave personal Gmail without losing the last five years

You do not have to import 40,000 messages on Saturday to look like a business on Monday. You have to stop printing the personal Gmail, receive new work at you@yourdomain.com, and give vendors a chance to update the address the next time you pay them.
This is the migration guide for a one-person local shop moving from a consumer Gmail (or Yahoo, or Outlook.com) onto Google Workspace. It assumes you already own the domain and have a working Workspace seat. If you do not, read why the domain mailbox matters and the setup Saturday first.
What success looks like in 90 days
- New customers only see the domain address
- Google Business Profile, the website, invoices, and the next magnet all match
- Old Gmail still exists, still receives, and auto-replies with the new address
- You are not maintaining two calendars as if they were both real
- Vendors you pay monthly have been updated as those bills came due
What success does not look like: a heroic import that takes the weekend, a broken filter, and a missed emergency call.
Week one — receive new mail in the new place
Do not delete the old Gmail. Change the vacation responder (or a filter + canned reply) so anyone who writes the old address is told the new one and that you will still see the message for now.
Forwarding old Gmail into Workspace can work as a temporary hose. It also trains you to never look at the old account. Pick one:
- Forward, and schedule a Friday sweep of anything that did not forward
- Do not forward, and check the old inbox twice a week for 90 days
Either is fine. Forever dual-wield is not.
Put the new address on:
- The website contact line
- Google Business Profile
- The signature in Workspace Gmail
- The next invoice run
- Estimates you send this week
Leave the van magnet until you are sure MX works. A magnet with a bouncing address is a durable mistake.
Vendors — move them when you pay them
You will not remember every account. You will remember the ones that charge you.
When you pay insurance, the parts house, the CPA, the host, the registrar, the phone bill: change the email on that login the same day. That is a complete-enough vendor migration for a shop that still has to run a route.
Do not spend a night hunting every free trial you opened in 2019. Those can bounce.
For customers in the middle of a job, send one plain message: here is the address that will send the invoice. Do not make it a brand announcement.
Calendar and Drive
If your life already runs on Google Calendar in personal Gmail, you have two honest options:
- Start a new primary calendar in Workspace and invite the old one as a secondary for a month while you recreate the job rhythm
- Export/import events using Google’s documented export (an .ics file). Do this once, then stop editing the old calendar
Do not keep accepting jobs on the personal calendar “because that is where the reminders are.” That is how you miss a water heater.
Drive: copy the handful of PDFs that matter (license, insurance, W-9, logo, a contract template) into the Workspace Drive. You do not need a full Google Takeout on day one. Takeout is there if you want an archive later. The working set is twenty files, not twenty thousand.
Photos of jobs can keep using the phone’s camera roll. If you already dump them into personal Drive, pick one folder going forward. Mixing two Drives is how you send last year’s roof to this year’s adjuster.
What about Gmailify, IMAP, and “check mail from other accounts”
Consumer Gmail can pull other inboxes. Workspace can too. Using that as a forever strategy means you still live in the old identity. Use it for 30 days if you must, then cut it.
IMAP into Apple Mail or Outlook on a laptop is fine. The source of truth should be Workspace, not a laptop Mail.app that is also the only copy.
Do not run a desktop client against both accounts with the same display name. You will send from the wrong one. Check the From: field like you check the gas cap.
Filters, labels, and the myth of inbox zero
Rebuild only the filters you can name: the parts house, the alarm company, the city permitting address. Do not recreate a 40-label taxonomy. A one-person shop needs: needs a reply, waiting on parts, booked, done. Four labels. Maybe five.
Spam will follow you. It followed you to Gmail too. Workspace spam filtering is a reason to be on a real seat instead of registrar forwarding, not a reason to buy a third-party “AI inbox” in week one.
When to actually import old mail
Import if you are in a dispute, a warranty claim, or a licensing conversation that lives only in 2022 threads. Import if a lawyer asked. Otherwise wait.
Google documents ways to import from consumer Gmail into Workspace. They change. Follow the current Google article, not a YouTube video from 2018. If it looks risky, skip it and keep the old account as read-only archive.
Ninety days later, if the old inbox is quiet, download a Takeout, turn off forwarding, and keep the consumer Gmail as a recovery address only. Do not delete it. It is how you recover other logins you have not moved yet.
What we will not tell you
- That this is a one-click “we migrated 200 plumbers” service. We do not run your admin.
- That you must buy a partner implementation. You do not.
- That personal Gmail is immoral. It is just the wrong public face.
- A price, a coupon, or a “limited time” Workspace deal. Verify on Google’s site.
Mail is infrastructure. Move it the way you move a shop: one wall at a time, still open tomorrow. Then go run the route.
